Graduation and Credentials Frequently Asked Questions

The program I am completing does not appear in ‘My Program’.

If your program is not listed, email credentials@camosun.ca; include your name, student ID number, and the name of the program you need opened.

How do I know if I am in my final term?

You are in your final term if you are enrolled in your final courses this term. In ‘My Program’, all courses must show as ‘In-progress’ or ‘Completed’, including internship and co-op work terms. 

Exception: Courses with start dates later in your final term* may appear as ‘In-progress’; however, a graduation application must be submitted.

Note:

  • *Fall courses begin anytime between September 1 and December 31 
  • *Winter courses begin between January 1 and April 30 
  • *Summer courses begin anytime between May 1 and August 31

I have courses that are ‘Not Started’ or ‘Planned’ in ‘My Program’.

If you have courses that are ‘Not Started’ or ‘Planned’, you’re not eligible to graduate. All courses must be ‘In-progress’ or ‘Completed’, including internship and co-op work terms.

I am enrolled in an internship or co-op. How do I ensure I receive the appropriate designation on my credential?

To receive your internship or co-op designation, the designation must appear as a program requirement, in ‘My Program’. If the requirement does not appear, or it is the wrong requirement, email credentials@camosun.ca; include your name, student ID number, program, and request to have your internship or co-op designation added to your program or changed to the correct one.

I have an optional internship or co-op designation added to my program requirements which I do not plan to complete.

If you don’t plan to complete your optional internship or co-op requirements, email credentials@camosun.ca; include your name, student ID number, program, and request to have your internship or co-op designation removed.

I have a co-op designation added to my program requirements and plan to complete the internship designation instead or vice versa. How do I switch the designation?

Email credentials@camosun.ca; include your name, student ID number, program, and request to have your co-op changed to an internship designation or vice versa.

I took my final course(s) at another recognized post-secondary institution.

If your final program requirement is from another recognized post-secondary institution, you’ll need your transfer credit evaluated before you can apply to graduate. Request transfer credit.

It's been more than a year since I attended, and I did not apply to graduate from my program.

If it’s been over a year since you last attended, please contact  Academic AdvisingIndigenous Student Services, or International Advisors to determine if you still qualify.

I am not eligible to graduate because I am missing one course. However, I have approved transfer credit in my ‘Transfer Summary’ for this course, but it has not been applied to my program requirements and displays in ‘Other Courses’.

The ‘Apply’ link does not appear for me when I go to the Graduation Application.

The ‘Apply’ button only appears during the posted Graduation Application periods:

  • Fall term: November 15 to December 31
  • Winter term: March 15 to April 30
  • Summer term: July 15 to August 31

If you’re eligible to graduate, but are having issues applying, email credentials@camosun.ca; include your name, student ID number, and program.

I can’t submit my application.

The ‘Graduation Term’ is a required field. Select the active graduation term from the drop-down menu to be able to submit your application.

The ‘Preferred Name on Parchment’ is a required field. Please enter the name you wish to appear on your parchment. There is a 120-character limit (including spaces) in the ‘Preferred Name on Parchment’ field. If your name exceeds the character limit, email credentials@camosun.ca ; include your name, and student ID number, and let us know your name exceeds the character limit and can’t submit your application.

The ‘Ship to preferred mailing address’ and ‘Ship to a different address’ fields, may not support longer addresses such as international addresses. Email credentials@camosun.ca; include your name, and student ID number, include the mailing address for your parchment, and request assistance.

I only see one ‘Graduation Term’ on the application, and I finished last term, but did not apply to graduate and want to apply now.

Only the active application term will appear. Please select this term, regardless of when you previously completed your program.

What is the ‘Preferred Name on Parchment’?

The ‘Preferred Name on Parchment’ is the name you choose to be printed on your parchment. Ensure it is correct before submitting your application.

How do I format my mailing address in my graduation application?

Format Unit/Apt #300 1234 Camosun Road as 300-1234 Camosun Rd and postal codes have one space between the first and last three characters e.g. A1A 2B2.

When do I apply to graduate if I am an internship/co-op student, and my final work term is the last term of my program?

Only apply to graduate during your final internship or co-op work term. Contact EducationThatWorks@camosun.ca if you have further questions.

Do I have to wait until all my final grades have been submitted to apply to graduate?

No, you do not have to wait for final grades to apply to graduate. We encourage you to apply to graduate as early as possible during the Graduation Application period. This allows us to assist with any issues you may experience in time for the closing of the application period.

I should have applied to graduate last term.

If your program is still viewable in ‘My Program’ on myCamosun and your requirements are complete, please apply to graduate in the Graduation Application period. If your program no longer appears in ‘My Program’, email credentials@camosun.ca; include your name, student ID number, and request to have your program re-opened so you can apply to graduate.

I made an error on my Graduation Application.

You can edit your application anytime during the application period. For changes required outside the application period, please email credentials@camosun.ca;  include your name, student ID number, program, and your request. 

I need to change the mailing address for my parchment.

Updating your mailing address in myCamosun does NOT update the mailing address of your parchment. You can edit your parchment mailing address in your application anytime during the application period. For changes required outside the application period, please email credentials@camosun.ca; include your name, student ID number, program, and to request your mailing address for your parchment be updated. Once files have been sent for print, following credentialing, we can no longer update mailing addresses.

I didn’t receive an email confirmation, nor do I see an application date on the Graduation Overview page, but I thought I submitted.

Upon submitting your application, you will receive an email confirmation. On the Graduation Overview page, you will see the date on which you submitted your application. If you didn’t receive these, please email credentials@camosun.ca; include your name, student ID number, and program which you are applying for.

I applied to graduate, but I not longer see an application date.

If your graduation application previously showed an application date and the date no longer appears, this means you’ve been credentialed. Please check your unofficial transcript on myCamosun to view your credential awarded.

Can I have my application, credential or parchment expedited?

No. We do not expedite requests; all students must apply to graduate in their final term and will be credentialed within 6 weeks of the closing of the application period. Parchments are mailed out within 12 weeks of the application period. If you are a domestic student, and you have an urgent need to prove your credential, you may request a completion letter. Email credentials@camosun.ca; include your name, student ID number, and request for a completion letter. International students must  request an International Letter of Completion/Graduation and for more information, contact International Advisors.
