Completing the Criminal Record Check - FAQ

The Criminal Record Review Act requires any student that may be working with children and/or vulnerable adults during the course of their program to complete a criminal record check. Completing a criminal record check is a program participation requirement.

Frequently Asked Questions

1. How do I complete the criminal record check?

Online consent to criminal record check must be completed using a laptop or computer with Internet Explorer 11 or later. Please do not use a mobile device or tablet.

The Ministry verifies an applicant’s identity using Electronic Identity Verification (EIV) and personal information collected by the credit reporting agency, Equifax.

Please go to the Ministry’s website at:  https://justice.gov.bc.ca/eCRC/home.htm

  1. Enter the Camosun College access code provided to you. If you do not have one, please email crimrecchk@camosun.ca  and include your full name, student ID number, program name and a phone number at which you can be reached.
  2. Select “Request a New Criminal Record Check”.
  3. Answer “yes” to all fields marked with a red asterisk (*)
  4. Proceed and enter your personal information as prompted (enter Driver’s License # for faster processing).
  5. Enter “student” when prompted to provide your “Position with organization”

2. Is there a fee associated with the CRC application?

Yes. There is a $28 fee, payable to the Ministry of Public Safety & Solicitor General.

3. I received a notification at the top of the page that says, "The system could not complete your request to initiate a criminal record check online.” What do I do now?

Scroll down and click the "print" button at the bottom of the page. A member of Student Records will need to complete an ID verification with you and will submit your manual application to the Ministry of Public Safety & Solicitor General’s Criminal Records Review Program (CRRP) on your behalf. Please DO NOT mail, email or fax forms directly to Camosun College or to the Ministry of Public Safety & Solicitor General.

If you are unable to complete the online application, and need to request an ID verification, please contact crimrecchk@camosun.ca and include your full name, student ID number, program name and a phone number at which you can be reached.

4. I received a notification that says, “Age does not meet verification criteria”. What do I do now?

You will get this message if you are under 19. Please contact us at crimrecchk@camosun.ca. Be sure to include your full name, student ID number, program name and a phone number at which you can be reached.

5. What valid identification can be used to complete a manual Criminal Record Check?

The Ministry of Public Safety & Solicitor General requires one piece of primary identification and at least one piece of secondary identification. Primary identification must be government-issued and include the applicant’s name, date of birth, signature and photo. Please check that your ID has not expired.

To view the list of acceptable primary and secondary identification, please go visit the Identify Verification section of the Province of British Columbia's website.

6. If I am unable to submit my application online and currently reside out of town, how can I ensure that I am not delayed in submitting my manual application?

Please contact crimrecchk@camosun.ca and include your full name, student ID number, program name and a phone number at which you can be reached and we can advise you as to whether or not to proceed with a notarization. For notarizations, you can take your manual application to a Notary office, in your city or town of residence, and have the Notary verify your ID (two pieces) and witness your signature and date. Be sure to include your email address. Forms must be mailed directly from the Notary to:

Camosun College
Student Records
3100 Foul Bay Road
Victoria, BC V8P 5J2

Upon receipt of the documentation from the Notary, Student Records will submit your application on your behalf.

7. Can I submit a clearance completed by a Police or an RCMP detachment?

No. Your criminal record check must be completed by the Ministry of Public Safety & Solicitor General’s Criminal Records Review Program (CRRP) (This link is not compatible with Internet Explorer).

8. What is the processing time to receive criminal record check clearance?

Processing time by the Ministry of Public Safety & Solicitor General can vary depending on the volume of applications being processed.

  • Processing time for online consent is generally 4-10 business days
  • Processing time for manual consent is generally 6-8 weeks

9. Can I use a previously cleared criminal record check completed through the Ministry of Public Safety & Solicitor General?

Yes. Camosun College will accept a clearance letter previously completed through the Ministry of Public Safety & Solicitor General’s Criminal Records Review Program, provided your clearance letter meets the following criteria:

  • The criminal record check must have been completed within the last five years
  • The previous check must have been completed with the same “works with” type, as required by Camosun (Schedule B - works with children and/or vulnerable adults).

We advise that if your previously completed clearance will expire before the end of your program at Camosun, it will be in your best interest to apply for a new criminal record check.
For instructions on how to complete a “shared” request, please contact us at crimrecchk@camosun.ca. Be sure to include your full name, student ID number, program name and a phone number at which you can be reached.

10. Can I share Camosun College’s criminal record check results with another organization?

Yes, provided the organization receiving the results is registered with the Criminal Records Review Program (CRRP) and is willing to accept your previous results.

Please refer to the Ministry criteria's and instructions to share the results of your CRC.

11. Can I have a copy of the criminal record check clearance?

If you require a copy of your clearance letter, please contact crimrecchk@camosun.ca. Be sure to include your full name, student ID number, program name and a phone number at which you can be reached.

12. I cannot find the answer to my question(s). Who should I contact?
