How do I book a venue?

Once you’ve decided that Camosun is the perfect location for your event, please complete a Facility Rental Agreement and submit it via fax or in person along with a deposit and proof of insurance as outlined in the Agreement.

In order to best serve you and to ensure that you have everything you need for your event; please complete and submit an Event Request Form 30 days prior to your event. A College representative would be happy to assist you by email or phone with any questions you may have as you complete the form.

If you require a preliminary site inspection, please make an appointment and a representative from Camosun College would be happy to meet with you.

Once you’ve booked your venue at Camosun College, if you need assistance with full event-planning or wedding details, we’re pleased to recommend several excellent, reputable preferred event planners that work in partnership with the College.

Which facilities are available for meetings, events and conferences?

We have a wide variety of accommodation, classrooms, auditoriums, intimate restaurant, large halls and theatre style venues available. Capacity & rates

Which venue is recommended for larger events or weddings and when would it be available?

The “Huber Hall” is a beautiful, contemporary venue located in a picturesque rural valley just 10 minutes from downtown. It is primarily available late afternoon/evenings and Saturdays or Sundays during the months of May through early September. The Huber Hall may be pre-booked during the academic year for Camosun events. However, if your event is planned during that time, please contact us for availability as we may be able to accommodate your request.

How many guests can the Huber Hall accommodate?

Depending on configuration, buffet and bar Huber Hall can accommodate up to 200 guests seated in the main dining hall and adjoining annex. For large, standing receptions the total capacity is 300. There is an outdoor space directly facing the Huber Hall which may be tented.

How do I know which equipment, furnishings, etc Camosun provides?

Each venue is unique and existing furnishings in the venue are included in your rental fee. List of preferred suppliers for furnishings, equipment, tenting etc.

What AV equipment will be provided?

Camosun would be pleased to rent you AV equipment and this can be ordered by submitting an Event Request Form. However, if preceding arrangements have been made with a DJ or band—you can frequently use their systems.

Are candles allowed?

Yes, candles may be permitted within glass containers with College approval. Your caterer, décor specialist or event planner can help you decide on appropriate candles.

Do we have exclusive rights to the venue and how may we ensure privacy during this time?

Yes, you have exclusive rights to the venue for the time allotted. For large events and weddings where alcohol is served, a Camosun security guard will be on site and is also responsible for ensuring privacy throughout your event.

Is there a phone number that we may contact in case of emergency at any hour during the event?

Yes, for any urgent matters you are able to phone 370–3075 at any time and someone will assist you.

What about decorating the venue?

Yes, you may decorate the venue and are welcome to bring in your own decorations however please do not affix any décor or signage to walls with nails, screws, staple guns or duct tape.

Can the venue be decorated the day before our event?

Occasionally, the venue may be available the evening before the event for decorating, arranging and deliveries but this must be pre approved and may be subject to additional fees. Additional charges won’t apply if decorating can be done in a few hours on the morning of the event.

Will our caterer, decorator or florist be able to arrive early the day of our event to set up?

Yes, provided that arrangements have been made as per the Event Request Form to ensure that doors are open at the venue.

Who is responsible for flowers and centerpieces?

You are responsible for ordering and arranging all flowers, décor and centerpieces for your event or wedding. We’re pleased to be able to provide you with a list of preferred suppliers.

Are we able to bring in homemade food?

No, all food must be provided by Camosun Food Supplier or by a preferred caterer.

Are we able to bring in or serve our own alcohol?

No, the Camosun Food Supplier or preferred caterer is the only party permitted to bring in or serve alcohol.

Are tents allowed?

Yes, tenting is allowed in the front garden of the Huber Hall and in some approved areas of the College grounds but should be planned well in advance of your event and must be ordered through a preferred supplier.

Can we throw confetti or flower petals indoor or outside?

Regrettably, we can’t allow the throwing of petals or confetti…bubbles can be beautiful though! An additional cleaning cost will be billed if confetti or petals are used.

Will Camosun staff be on site to open the venue?

A College representative will arrive an hour before your booking to assure the building is unlocked and the set up is accurate. If alcohol is being served, a Camosun security guard will be on site from one hour prior to and one hour after the event and will be a primary contact for any safety concerns.

Does Camosun College have a photographer?

Regrettably, Camosun doesn’t have an official photographer but our preferred caterers or suppliers will be pleased to recommend reputable photographers or videographers.
